In Summary

The General Secretary, Treasurer and Membership Secretary will ensure that the records belonging to the Association are secure and properly preserved. All accounting, correspondence, membership and administrative records and records of Board Meetings, AGMs and EGMs and other meetings such as those concerning disputes and appeals will be held for seven, (7) years, or the minimum period according to the Law relating to the preservation of records in the state or country where the Association is registered.

The Association will ensure that all information held including membership and personal information shall be confidential and secure.  No information will be released unless permission is first obtained from the owner of that information.

We understand the principles of the 2018 European Union General Data Protection Regulation (GDPR) and comply as required.

What personal data we collect and why we collect it

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection. We do not share this data with anyone.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (perhaps through the Membership Application process), we  store the personal information you provide in your user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have a member profile on this site by being a member of the IPDA, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes – if for example you wish to stay as a member of the IPDA we do need your profile data for you to be listed in the member list.

Your contact information

Selected and relevant contact information is made available in the Member profile to support your presence as a member of the IPDA.  All other data is maintained by the Membership Secretary and is not shared with any third parties.
